Hall Letting Terms and Conditions

Users who wish to let Dalneigh Scout Hall must agree to the following.

All Lets

  1. The building, grounds and car park are non-smoking areas.
  2. Groups are responsible for ensuring their own safety and safeguarding procedures are followed at all times.
  3. Lets for the main hall, training room and meeting room are separate. Booking one does not give access to the others without prior agreement.
  4. Start and finish times must include set-up and cleaning time.
  5. All heaters and lights must be switched off before departure.
  6. Any issues or damage must be reported as soon as possible to bookings@scoutsinverness.org.uk. Inverness, Nairn, Badenoch and Strathspey District Scout Council reserves the right to charge for the cost of repair or replacement of damaged fixtures and fittings.
  7. The building must be left clean and tidy. Rubbish bins should be emptied and all rubbish taken away with you - please do not use the external wheelie bins. Any kitchen items used must be washed, dried and returned to the correct cupboards.
  8. The building must only be used for the purpose stated on the booking form.
  9. There is no storage space available within the building.
  10. No additional keys may be cut, and all keys issued must be returned within 24 hours of the end of the let.
  11. A let may not be transferred, shared or sublet to anyone else under any circumstances.

Insurance

  1. Inverness, Nairn, Badenoch and Strathspey District Scout Council holds public liability insurance through Scouts, which includes property owners’ liability, and separately insures the building and its contents.
  2. One-off private hires, such as a children’s party, are covered by that policy. You do not need to arrange your own insurance for the hire itself.
  3. If you are bringing in anyone who provides an activity or a service - a bouncy castle, an entertainer, a disco, a caterer - they must hold their own public liability insurance for what they run. Please ask them for it. We cannot be responsible for equipment we do not own or for how someone else sets it up.
  4. Anyone using the hall regularly and charging a fee for a service - an exercise class, a sports club, a business of any kind - must hold their own public liability insurance, and must send us a copy of the certificate before the let begins. We are happy to share a copy of ours on request.

Payment

  1. An invoice will be sent to you before the event.
  2. The invoice must be paid in full before the event takes place.
  3. If payment has not been received by then, the let will be cancelled.

Cancellation

  1. If you need to cancel and give us at least one week’s notice, you will receive a full refund.
  2. Cancellations with less than one week’s notice are not normally refunded, because at that notice we are unlikely to be able to let the space to anyone else. The Trustee Board may make an exception where the circumstances warrant it.
  3. If we need to cancel your let, we will normally give you at least two weeks’ notice.
  4. In an emergency we may have to cancel at short notice, or none. If that happens you will be offered a full refund.

Capacity and Fire Safety

  1. No more than 100 people may be in the main hall at any one time.
  2. Fire exits are clearly marked and must be kept clear at all times.
  3. The hirer is fully responsible for the safety of everyone attending their event.
  4. The hirer must have a plan for evacuating the building, and must make sure whoever is running the event knows it.

Long-Term Lets

  1. You must notify bookings@scoutsinverness.org.uk of any dates you will not be using the building, otherwise full charges will apply.
  2. Either party can terminate the agreement with one month’s notice.
  3. We will give at least two weeks’ notice of any dates when the building will not be available.

Questions

If anything here is unclear, or your let does not fit these terms, email bookings@scoutsinverness.org.uk before booking rather than after. You can check availability and request a booking on the booking page.
